Kulohi Policy
Refund Policy
How cancellations, refunds, subscriptions, and billing disputes are handled for paid services.
Our Philosophy
Kulohi was created to support members and the people they care about through meaningful moments across a lifetime. We understand that circumstances change, and we strive to handle refund requests fairly, transparently, and with compassion.
This Refund Policy explains the Robin Promise and when other refunds may be available for memberships and Legacy-related services.
Kulohi is operated by Gremlin Labs LLC, doing business as Kulohi.
Paid checkout is closed during the current Kulohi beta, so Kulohi is not currently accepting membership charges. This policy describes the intended treatment of future paid memberships. The final refund, cancellation, renewal, and reactivation terms will be shown before anyone is asked to pay.
1. The Robin Promise
We believe trust should be earned, not assumed.
If Robin genuinely is not the right fit for you or the person using the membership during the first 30 days of the first paid Kulohi membership, let us know and we will refund that membership charge.
No complicated forms. No pressure. No hard feelings.
To request a Robin Promise refund, contact Support within 30 days after your first paid membership begins. We may ask only for the information reasonably needed to locate and secure the account and return the payment to its original payment method.
The Robin Promise applies to the first charge for a member's first paid Kulohi membership. It does not restart after cancellation, reactivation, a change in billing frequency, or the creation of another account by the same member.
2. Membership Charges
Kulohi memberships are billed in advance according to the billing cycle selected during checkout.
After the Robin Promise period, membership fees are generally non-refundable once a billing period has begun unless otherwise required by applicable law or described in this policy.
You may cancel your membership at any time to prevent future renewals.
Cancellation does not automatically result in a refund for the current billing period.
3. No Free Trial
Kulohi does not offer a free trial. The monthly and annual charges are shown in full before checkout, and the Robin Promise reduces the risk of trying Kulohi without hiding when payment begins.
4. Accidental Charges
If you believe you were charged in error, including duplicate charges or billing mistakes, please contact us as soon as possible.
After reviewing the circumstances, we may issue a full or partial refund where appropriate.
5. Technical Issues
If a significant technical problem prevents you from reasonably using Kulohi, we encourage you to contact our Support team before requesting a refund.
Whenever possible, we will first attempt to resolve the issue.
If we determine that Kulohi was substantially unavailable due to an issue within our control, we may issue an appropriate refund, account credit, or membership extension.
6. Membership Cancellation
When paid checkout opens, the available cancellation method will be shown before purchase. The intended behavior is that a member may stop automatic renewal through the billing controls made available to the member or by contacting Support.
After cancellation:
- Your membership remains active until the end of the current billing period.
- Future renewal charges will not occur.
- Access continues only as described during cancellation and may end when the paid period expires.
7. Founding Membership Recognition
Founding Membership is recognition for the first 1,000 Kulohi members. It is not a separate paid tier, does not change included features, and has no separate refund rules.
Founding recognition may remain part of the member's history after cancellation. The original price lock lasts only while the original membership remains continuously active. If that membership is canceled or lapses, the price lock ends and does not resume if the member returns.
8. Legacy Book Orders
One printed Legacy Book is included after 12 completed months of paid Kulohi service. If the member passes before reaching 12 completed months, the book is available for $15. Only material the member approved for Legacy may be included.
Any additional production, shipping, revision, cancellation, tax, replacement, or international-availability terms will be shown before an order is finalized. Those terms will apply subject to applicable law. If an order arrives damaged or contains a printing defect, contact Support so we can review the issue and explain the available resolution.
9. Compassionate Circumstances
Kulohi recognizes that people may experience unexpected life events.
If a member passes away shortly after a membership renewal, an authorized family member or designated representative may contact us to request a review.
Where appropriate and consistent with applicable law, we may provide:
- a prorated refund for unused membership time,
- assistance with account closure,
- support for Legacy features,
- or another reasonable resolution.
Requests may require documentation sufficient to verify the circumstances.
Each request is reviewed individually with care and respect.
10. Fraud Prevention
Refunds may be declined where we reasonably believe a request involves fraud, abuse, chargeback manipulation, or intentional misuse of the Service.
11. Chargebacks
If you believe a billing error occurred, we encourage you to contact us before initiating a chargeback through your financial institution.
Contacting Support first may allow us to review the issue directly.
12. Changes to This Policy
As Kulohi evolves, we may update this Refund Policy.
Material changes will be reflected by updating the “Last Updated” date and, when appropriate, providing additional notice.
