Circle Permissions & Family Access Policy

How Circle and family access should respect consent, privacy, dignity, and Primary Member control.

Your Circle, Your Choice

Life is rarely lived alone.

Kulohi’s Circle is designed to help you stay connected with the people you trust while ensuring that your privacy, independence, and personal choices always remain at the center of the experience.

Every relationship is different. Some people simply want to stay informed. Others may help with reminders, appointments, or important decisions. Kulohi allows each Primary Member to decide who can help, what they can access, and when that access applies.

Being invited into someone’s Circle is a privilege built on trust, not a transfer of ownership.

Kulohi is a product of Gremlin Labs LLC.

1. Primary Member

The Primary Member is the person whose Kulohi account, stories, memories, conversations, and preferences are being supported.

Unless otherwise required by law or authorized through the member’s recorded preferences, the Primary Member remains in control of their account.

2. What Is Circle?

Circle allows a Primary Member to invite trusted people into their Kulohi experience.

Circle may include:

  • Family members
  • Friends
  • Caregivers
  • Legal representatives
  • Other trusted individuals

The Primary Member decides who is invited and what level of access each person receives.

3. Permission Levels

Kulohi currently supports multiple permission levels.

As Kulohi evolves, permission names and available capabilities may change while maintaining the same guiding principles of privacy, transparency, and member control.

Halo

Halo members are trusted people who help maintain connection.

Depending on available features, Halo members may be able to:

  • receive updates shared by the Primary Member;
  • send messages and encouragement;
  • share photographs or memories;
  • participate in approved Circle conversations;
  • receive invitations to meaningful family moments.

Halo members generally do not receive access to account management, Robin conversations, private memories, or advanced settings.

Core

Core members are trusted helpers who assist with selected day-to-day support.

Depending on the Primary Member’s preferences, Core members may be able to:

  • help manage reminders;
  • assist with appointments;
  • receive wellness check-in notifications;
  • help organize certain information;
  • assist with selected account features.

Core members do not automatically receive access to private Robin conversations or Legacy Features.

Keystone

Keystone members represent the highest level of trust within Circle.

Depending on the Primary Member’s preferences and applicable law, Keystone members may be able to:

  • assist with advanced account management;
  • help manage Legacy Preferences;
  • upload supporting legal documentation;
  • participate in Legacy verification;
  • assist during a Legacy Transition;
  • help manage additional features specifically authorized by the Primary Member.

Keystone access should be granted thoughtfully and reviewed periodically.

4. Robin Conversations

Conversations with Robin are personal.

Robin conversations remain private unless the Primary Member has specifically chosen to share eligible conversations through available Kulohi features.

Being a Halo, Core, or Keystone member does not automatically provide access to Robin conversations.

5. Life Stories & Memories

The Primary Member decides which Life Stories, photographs, recordings, and memories are shared with Circle members.

Some content may remain completely private.

Other content may be shared with selected members according to the Primary Member’s preferences.

6. Invitations

Circle invitations are sent only at the request of the Primary Member or another authorized individual acting on their behalf where permitted.

Invited individuals may choose whether to accept participation in a Circle.

Kulohi may require identity verification before granting certain permission levels.

7. Updating Permissions

Relationships change over time.

The Primary Member is encouraged to periodically review their Circle and update permissions whenever appropriate.

Permission changes generally take effect as soon as they are saved within Kulohi.

8. Removing Circle Members

The Primary Member may remove Circle members at any time unless restricted by applicable law or an active legal process.

Once removed, a former Circle member will generally lose access to future shared content and features associated with that invitation.

Removal does not automatically delete information that was previously shared with that individual outside of Kulohi.

9. Legacy Transition

Circle works together with the member’s Legacy Preferences.

During a Legacy Transition, Kulohi will make reasonable efforts to follow:

  • the Primary Member’s recorded wishes;
  • designated Legacy Contacts;
  • applicable law;
  • authorized documentation.

Circle permissions do not automatically expand during a Legacy Transition unless doing so aligns with the member’s preferences or legal requirements.

10. Privacy

Every Circle member deserves privacy and respect.

Likewise, every Primary Member deserves confidence that their personal conversations and memories will only be shared according to their choices.

Kulohi is designed so that trust is earned through transparency, not assumptions.

11. Family Disagreements

Families may occasionally disagree about access to memories, Legacy Features, or account management.

When disagreements occur, Kulohi will make reasonable efforts to follow:

1. the Primary Member’s recorded preferences;

2. applicable law;

4. the responsibility to protect the member’s privacy, dignity, and wishes.

Kulohi may decline requests where authority cannot be reasonably established.

12. Future Features

As Kulohi grows, additional Circle capabilities may become available.

Future features will continue to follow the same guiding principles:

  • member choice;
  • privacy;
  • transparency;
  • thoughtful access;
  • respect for relationships.

13. Changes to This Policy

We may update this policy as Circle evolves.

When significant changes are made, we will update the “Last Updated” date and, where appropriate, provide additional notice.
